Create Action
Actions can be created on the web pages inside a project and inside the applications that are opened from the web pages. The method for creating an action varies between the web form and application form, this section will cover both methods.
Web Actions
From any location within a project in the web application, we can create a new action by clicking the button.
This will open the "Create Action" form where we can define the actions information.

The user can name and describe what the Action is used for. ‘Response Due’ allows the user to set a deadline for the Action to be completed. The Action can be assigned to a user by selecting ‘Assign To’, with options for ‘Department’ and ‘User Group’ allowing the Action to be assigned to a selected department and project group.
The user can also set a ‘Priority’ level and ‘Type’ of action when necessary. When all the above is finished, select to create the Action.
Linked Items

This tab is used to determine and enable items linked to the Action. The box on the left can be checked to enable the selection of attached items. Linked Items often consist of selected items within a drawing.
Where multiple items are selected we can enable the "Create one action per Linked Item" option to create a unique action with the same details for each linked item.
Attachments

The ‘Attachments’ tab is used to attach files to the Action. Files can be browsed, then selected and dragged into the box. The list of files can be found within this tab, with the user having the option to remove files when necessary.
Snips

This tab has a similar function to ‘Attachments’, the difference being that this tab takes and stores images created using the ‘Snipping Tool’.
Links

Links to other files can be inputted within this file. ‘Description’ is a summary of what the external file is, whilst ‘Link’ is the hyperlink to the external file. Links can be added as well as deleted

Notes

Notes pertaining to the Action can be created here. When notes are created, the user has the option to add notes as well as delete them
if need be.
Dependencies

This tab allows for selection of other existing actions that the current action will become dependent on, or the selection of actions that become dependent of the current action. ‘Dependent On’ and ‘Dependent Of’ can be enabled to allow these options to apply to the current action.
Linked Tasks

This tab allows for the selection of a Task Template. Once selected, use ‘Load’ to reveal the list of tasks within the Task Template. Tasks can be added to the list using

and ‘Save Tasks As’
are used to save the layout of Task Template and the List of Tasks respectively. Task Templates can be deleted using
and each task within the list can be deleted using
.
Application Actions
Actions can be created inside applications launched from the web; the process is similar to the way actions are created in the web with a change to the UI element. From applications such as Drawing Editor and Data Editor you can create actions by clicking the button found in the toolbars, this will open the “Create Action” form window.

The user can name and describe what the Action is used for. ‘Response Due’ allows the user to set a deadline for the Action to be completed. The Action can be assigned to a user by selecting ‘Assign To’, with options for ‘Department’ and ‘User Group’ allowing the Action to be assigned to a selected department and project group.
The user can also set a ‘Priority’ level and ‘Type’ of action when necessary. When all the above is finished, select to create the Action.
Update Existing Action

By enabling ‘Update Existing Action Links’, a list of Action Links can be browsed. This allows us to update an existing action with the items selected when the create action button is pressed appending them to the existing actions “Linked Items”, newly added items are marked with an asterisk.

Create Multiple Actions

By selecting ‘Create Unique’ this allows for only one Action to be created for every Linked Item. This will also disable the ‘Update Existing Action Links’ option.
Snip Options

‘Snip Options’ is used to add snipped images to the new Action. This involves opening a Snipping Tool, taking a snip and attaching it to the new Action. Snips can also be removed from the Action if need be.
Pressing the button will open the add snip options:

From here we define the name of the snip in the “Title” field, we open the snipping tool with the button and paste the snip with the
button and add the named snip to the action with the
button.
We can add as many snips as we desire to an action and can review them in the snips section:

The remaining buttons allows us to open the snip and to delete the selected snip

Linked Items

This tab contains a list of all items selected when the create action button was selected, this allows us to open the item/application direct from the action.
Attachments

This allows us to attach external files to the action which can be opened directly from the action. This is done by first selecting ‘Browse Files’ then searching for the appropriate file. Once found, the file can be given a description and then attached to the Action using ‘Upload Attachment’
. Files can be removed using ‘Delete Attachment’

References

This tab is used to create notes pertaining to the Action. Notes are manually typed out then added using ‘Add Reference’ . Notes can be removed using ‘Delete Reference’

Linked Tasks

This tab is used to add a Task Template, which adds a list of tasks to the Action. Task templates can be added by using ‘Select Linked Tasks File’ to open the selection of Task Templates. Select the appropriate template to add its tasks to the Action.
Dependencies

This tab allows other Actions to become dependent on or of the new Action. To add Actions, select and select all Actions to be added to the tab.
